We’ve recently launched Pic-Time 2.0! This guide covers how to create a New Pic-Time 2.0 Gallery — from uploading media to customizing settings and sharing with clients.
We highly recommend utilizing Pic-Time 2.0, but for now if you want to create a new gallery using Pic-Time 1.0, follow these instructions instead.

1. Create a New Gallery
To begin creating a Client Gallery, select + Click Gallery from the Main Dashboard.
Add the Gallery Name, select Pic-Time 2.0 under the Delivery Experience, and choose one of your pre-made Gallery templates if you like. Then click Next.
Then add the Session date, select your Occasion from the dropdown, type a Description, select your Brand, change the Language if needed, and update the Gallery address (URL). Then click Create gallery.
2. Add Photos & Media
Go to the Photos & Media tab of the Gallery. To begin, add a name for your first Scene under Scene Name. You can use Scenes to organize your photos based on workflow, type of event, or creative flair.
When creating your Gallery, you can upload:
Feature Video (either directly or via a third-party provider)
If you’ve set it up in your Gallery Template, the Scene structure and names will auto-populate based on your template settings.
Photos, Clips, GIFs
Select Photos & Clips to add JPGs, GIFs, or short videos.
Video Clips can be up to 3 minutes long and up to 3 GB.
Video Clips and GIFs will be added alongside the images in the Gallery and played automatically, offering your clients a beautiful viewing experience.
Featured Videos
To add longer videos or videos with customized download permissions, select Featured Videos. These can be up to 90 minutes long and 20 GB.
Featured Videos will appear in their own Scene in the Gallery.
Download the Uploader App
If you haven’t yet, download the Pic-Time Uploader — it quickly uploads your media in the background while you continue to design and send your galleries to clients.
How to Upload Files
A pop-up window will appear after you click to add Photos & Clips or Featured Videos. Click on Select Files or drag and drop the files/folders you would like to upload to the Scene.
If you drop folders organized on your computer, they’ll automatically be separated into Scenes.
3. Organize Photos & Media
To add a new Scene, click + Add Scene and name it. Then upload more media.
To move media to another Scene, click each item to select it, then go to Manage photos > Move to Scene and choose the destination Scene.
Similarly, you can use this to download any media you need.
Hide Scene
Click on the three dots underneath each Scene name to hide it from certain user types, such as a Scene for only Vendors.
Sort
To sort your Gallery media, use the Sort dropdown menu.
You can also set a Default Sorting Mode in your Settings.
Tags from the Gallery and your editing software appear in the Filter dropdown, allowing you to filter and organize images & other media by different parameters.
For example, if you've rated your “highlights” as 5 stars in Lightroom, you can filter by 5-star images, select them all, and mark them as Highlights.
You can also filter media by different Vendors, Orientations, and Media types. Additionally, you can utilize Pic-Time's AI search to look for more specific types of media. Or filter to view media included in your Client’s or Gallery guest’s Collections and Favorites.
4. Add Additional Features
You can enhance your Gallery with extra features like:
Scene Descriptions – perfect for storytelling or sharing key info
Slideshows – beautifully showcase your work or create content for social media
5. Design Your Gallery and Shop
To edit the Gallery and Shop design, head to the new Design tab, where you can:
Adjust the Gallery and Shop Theme by choosing font and color combinations.
Select media for the Gallery Cover and Scene Headers
Make more advanced customizations
6. Adjust Gallery Setup
In the Gallery Setup tab, depending on the Occasion, you can add other details such as the couple's names and the event location.
For sensitive galleries like boudoir or newborn galleries, set the Security Policy to Sensitive to limit user access and add extra protection.
Otherwise, use the normal security policy, mark the Gallery as Private, and checkmark not so show on your Portfolio until you have a few galleries uploaded.
Images – Click More Settings under Photo Downloads and choose:
Allow free downloads
Set a limited number of downloads
Enable downloads for specific user types only
Featured Videos – Click Settings under Featured Video Downloads to adjust permissions (learn more).
Video Clips – Always available for download, making it easy for guests to share quick moments.
Slideshows – Manage download permissions individually in the Slideshow Editor (learn more).
Customize your Gallery settings:
Adjust your watermark settings. If the options are grayed out, upload your watermark first (learn more).
Select your preferred Email Package.
7. Shop
The Shop tab is where you can update the Gallery’s Price List and any Sales automations.
Leave your shop enabled and select your preferred Price List from the dropdown. You can also edit the selected Price List, or create a new one.
This allows clients to easily purchase their favorite images as beautiful printed products from your shop.
You can skip adding any Sales Automations for now — we’ll cover them in the Advanced Guide.
But if you’d like to explore Sales Automations right away, we recommend starting with the Early Bird and Abandoned Cart, using the default settings we suggest (learn more).
8. Share with Clients
Once your Gallery setup is complete, head to the Share tab to begin sharing it with different users.
Add your Main Client’s name and email, click Send to Client, and include a personal message to invite them to view their Gallery.
Click on + Add another client to add more than one Main Client.
Pro Tip: Save your client invite Email Templates for different types of photo sessions to save time and keep your communication consistent.
9. View Gallery Activity
After you’ve shared the Gallery, visit the Gallery Dashboard tab for a quick Gallery Overview, where you can:
View Gallery’s online/offline and upload status
Adjust the Gallery expiration date
View your active shop campaigns and sales
View users’ activity including their Favorites and Collections
View and download the most engaged media
10. Preview the Gallery and Save as Template
In the Preview Gallery you can:
Enlarge images you want to showcase
Place your own orders in the shop
Or click to Save gallery as template to save your gallery settings, such as automatic scenes, specific download permission settings, and more. This will save you time when creating future galleries of a similar kind. Learn more here!
