How do I Manage Download Permissions?

Pic-Time enables you to customize your download permissions for each gallery, and for each user type that visits a gallery.

One of the advantages of identifying different types of users in the gallery (e.g., Main Client, Photographer Invited, Guest, Client Invited, Vendors) is that you can give each of the types different download permissions. This article will show you how to set up different permissions for different users. Click Here to learn more about how the different user types are used elsewhere in the system.

A quick word about Download Pins. There is no download pin required when downloading photos from the gallery. Instead, the photographer can control the download privileges for each user type. Learn more here. This option gives more control to the photographer over who can download the images from the gallery. A download pin can be shared with others and can sometimes end up in the wrong hands. By eliminating the download pin and providing a user-friendly download control panel, the photographer is able to determine who will have the option to download the images.

Adjusting Download Permissions

1. Begin by selecting the Gallery Setup tab in a gallery. You can checkmark to Allow free High-Res and Web-Size downloads and click More Settings to adjust other settings.

2. Checkmark the size you would like to make available (High-Res and/or Web-Size) and the type of user that would have permission to download.

Please Note: Gifs are always downloaded at the original uploaded resolution, and are not resized per any photo download settings.


Customize Descriptions, Terms, and Print Release

1. You can also customize the name and description of the High-Res downloads by clicking the pencil icon.

2. Checkmark to customize the product name and description.

3. Checkmark if you would like to Add Download Terms and Use a custom release form (pdf), and then click Apply.

4. Click the pencil icon to add download terms and a custom release form to the free Web-Size downloads.

5. Checkmark to add, and click Apply.

Allow Specific Amount of Downloads

1. If you would like to only allow a specific number of high-resolution downloads, select Specific Amount from the dropdown.

Please Note: The download amounts are shared between users of the same type. For example, if you have two Mains Clients and allow 10 free downloads, one Main Client could download 8 images, and the second Main Client could download those same 8 images and only 2 additional ones. Or, if the first Main Client downloaded all 10 images the second Main Client would only be able to download the same 10. In addition, if you replace one of the Main Clients, the new Main Client would still only be able to download the 10 specific images.

Please Note: After the client has downloaded their specific amount of images, if you delete the images from the gallery and then upload photos again, the specific amount count will be reset and the client will be able to download that amount again.

2. Any users that aren’t enabled to download photos for free will be able to purchase if you have them set up in your Store Pricing. You can sell both high-resolution and custom-resolution downloads.


Set the Size for Your Downloaded Photos

  • Free and Paid High-Res: Choose the original size or set a specific size using the width and height proportions.

  • Free Web-Size resolution: Select the pixel size for the long edge of the photo.

Limit Downloads to Specific Scenes

You are also able to adjust which scenes are available for download. Click Apply when finished.

Send A Link with Download Permissions

In a case where you would like to share a link with download permissions with a user, you can set the download settings to allow Main Clients and Photographer Invited to download images and share a secure link via the share tab. This becomes convenient in a situation where the wedding couple (Main Clients) want to share a link that would allow their family and friends to download the images, but not other guests to the gallery.

1. To begin, set the download settings to allow free high-res and/or web-size to be downloaded by the Main Clients and Photographer Invited. Click Apply to save.

2. Select the Share tab within the project. Click Get Secure Link.

3. You can select which scene to share via the link. Click on Get Link to generate a special access URL.

4. Copy the link to share with others. Users entering the gallery via this link will be able to download the images.

5. You can also send a .zip folder of selected images for any user to download. Learn more here.


Download Accessibility via Storage

After a year of the original upload date, the photos are stored in long-term storage. The photos in the storage are easily accessible to you and your client. When you or your client download the photos, you can click to be notified when they’re packaged and ready to download. This may take about 4-15 hours.
