How do I share a client gallery?

Pic-Time makes it easy to share galleries with clients, Vendors, and guests. This article details how to share a gallery with each type of visitor. Click here to learn more about different user types.

Main Clients

Our recommended way to share a gallery with your clients is by adding them as Main Clients. This gives them access to unique privileges such as the ability to:

Sharing a Gallery with a Main Client

1. First, go to the Share tab in the gallery menu.

2. Enter the client's name and email in the provided fields. Then, click Send to Client or Send by myself.

Send to Client lets you email clients directly through Pic-Time, keeping all gallery communication in one place. You can create email templates for quick use or schedule emails to send later.

Send by myself generates a secure link for your Main Client, allowing you to copy and share it outside of Pic-Time.

3. To confirm your client as a Main Client in the system, they need to access the gallery through the secure link generated through one of the two methods above. You can learn more about the user login and account creation here.

Photographer Invited

Photographer Invited users are individuals (such as colleagues, extended family, or potential clients) who you want to share the gallery with under specific permissions.

Photographer Invited users:

  • Cannot hide photos in the gallery.

  • Will not see photos hidden by the Main Client.

  • Can be included or excluded from promotional campaigns.

  • Only see gallery scenes they have permission to view (private galleries only).

  • Can be offered free high-res and/or web-sized downloads along with the Main Clients.

Sharing a Gallery with a Photographer Invited User

1. Click Invite via Email or Get a Secure Link to share outside of Pic-Time.

2. Both options will let you choose whether this user can view all or only specific scenes under Show Scenes before you send the invitation.

Pro Tip: Invite via Email option allows you to add a list of emails and send invitations to a whole group of people in one click.

You can also set an Access Code to require users to enter it before accessing the gallery. Learn more about managing access codes here.

Guest Link

The Guest Link can offer limited access and is meant for sharing with the client’s family and friends, prospective clients, or anyone else you or your Main Clients may want to invite to the gallery. Gallery guests:

  • Cannot hide photos in the gallery.

  • Will not see photos hidden by the Main Client.

  • Can be included or excluded from promotional campaigns.

  • Only see gallery scenes they have permission to view (private galleries only).

  • Can be offered free high-res and/or web-sized downloads along with the Main Clients and Photographer Invited users.

Sharing a Gallery with Guests

1. Click to Get Secure Link.

2. If the gallery is private, you will be prompted to choose which scenes the link gives access to from the dropdown menu. Select your preferences and click to Get Link.

3. A link will then be show that can be copied and shared outside Pic-Time.

Vendors

The Vendor user type is for professional collaborators like venues, florists, event planners, and magazine editors.

Adding someone as a Vendor allows you to:

  1. Provide a custom gallery view with AI-selected, manually selected, or metadata selected photos.

  2. Create a personalized shop with pricing and products.

  3. Require approval of Media Usage Terms.

Sharing a Gallery with Vendors

To start setting up your Vendor Network, go to the Vendor tab in the gallery menu.

There are a few ways you can add Vendors to the gallery:

Private vs Public Galleries

By default, the gallery will be set as public. To make it private, go to Gallery Setup tab and check the box next to Private gallery.

The table below details the difference between private vs public gallery viewing permissions for each user type.

Hidden Scenes

You can mark individual scenes as "hidden" in the Photos & Media tab. Click on the three dots under a scene you wish to hide and select Hide Scene.

Scenes can be hidden based on user type, allowing different access levels for each. Just select which users you want to hide the scene from and click Apply.

Hidden scenes override other gallery permissions, even if specific access was given via a Photographer Invited or Guest link.

Allow Sharing (via Facebook, Email, etc.)

In the Gallery Setup tab, you can check the box to enable sharing.

This adds a ‘share’ button in the gallery, making it easy for clients to share with friends and family. If sharing is disabled, you can still provide a Guest Link from the Share tab. Your Main Clients also have access to this link to easily share the gallery with friends and family.

Sharing a gallery without password protection

By default, anyone can view your gallery using a Guest Link and download images without needing an account.

To limit access to your galleries, go to in Settings > Preferences > System Preferences and check the box to require an account for downloading or sharing photos.

If you would like to leave the gallery open for anyone to view or download, but still like to collect the name and email address of each user that visits the gallery, this can be enabled in the Gallery Setup tab of each gallery.

Pro Tip: While you can keep gallery access open to anyone, we recommend assigning relevant user types and customizing gallery-sharing settings for different levels of access to your images. This lets you fully leverage Pic-Time’s powerful features to elevate your business and boost sales.
