How do I add Vendors to my gallery?

Building Your Vendor Network

As a photographer, forging strong connections with other vendors can play a huge role in your business growth. Vendor connections often lead to more client referrals, social media exposure, and business collaboration opportunities.

The key to these connections is sharing relevant photos regularly with vendors. The Vendor Network feature makes this process easier than ever - from contact collection, to photo selection, to delivery.

In Pic-Time, you can easily add Vendors as a unique user type to a custom view of your Client Galleries. This means you can:

  • Offer Vendors custom pricing and products

  • Share curated images or the full gallery

  • Set specific Media Usage Terms

  • Strengthen collaborations and brand awareness

Ways to Add Vendors

There are several ways to add Vendors to your gallery:


Add via Vendor Registration Link

To easily invite Vendors to your gallery, you can use the Vendor Registration Link. Share it directly with Vendors, provide it to your Main Client or wedding planner to pass along, or include it in your CRM or email workflows.

Pro Tip: With the Pic-Time Mobile App, you can generate a QR code from the link so Vendors can register by scanning it on the spot.

How to Use the Link:

1. In the gallery’s Vendors tab, click Copy Vendor Registration Link.

When viewing the link, Vendors can submit their Business Name, Vendor Type, Email, Website, and Instagram.

Once a Vendor registers, in the gallery’s Vendors tab, you'll be able to view or edit their details, and remove them if needed.

You’ll also receive:

  • A daily email summary of new Vendor signups

  • A reminder email after four days, prompting you to share photos with any new Vendors

When you're ready, click Share Photos with Vendors, and follow the steps here to review their details and complete the invitation.

Invite via QR code

If you’re at an event, Vendors can easily register by scanning a QR code from the Pic-Time Mobile App.

  1. In the app, open the gallery and tap the Share icon.

  2. Select Vendor Registration, then select QR code.

  3. Vendors can then scan the code to access the registration form and join the gallery.

After the Vendors have joined the gallery, follow the steps here to review the Vendor details and continue inviting them to the gallery.


Add a New Vendor Manually

If you prefer or need to enter a Vendor’s details yourself, you can add them manually through any Client Gallery.

1. In the Vendors tab of the gallery, click on + Add Vendors.

2. In the Vendor selection window, click + Add a New Vendor to enter new details.

Vendor Details

Add the New Vendor’s details:

  • Business Name

  • Select the Vendor Type from the drop-down menu. If the type of Vendor you’re working with is not on this list, you can select the Other, custom type option to manually add their Vendor Type. This will only offer you the All photos or Manual media selection options, but you can still use Lightroom keywords, star ratings, or other metadata to select images. (Learn more)

  • Contact person’s name and email

  • Select Vendor Media Terms

  • Website URL

  • Instagram URL or IG handle (with or without the @)

Click Apply to save. Once added, the Vendor will be saved to your Vendor Network for future use.

Then, follow the steps here to review their details and complete the invitation.


Add Existing Vendors to Gallery

To add new or existing Vendors to a gallery:

1. Go to the gallery’s Vendors tab and click + Add Vendors.

Here, you can browse and add multiple Vendors at once. Click on the icons of Vendors you want to add, and then select Continue.

After selecting Vendors, follow the steps here to review their details and send the invitation.

If you'd prefer to invite an existing Vendor by sharing a link (via your CRM, email, or message), follow the steps here to use the Vendor Registration Link.


Update Existing Users as Vendors (Photographer Invited vendors)

If you are a photographer who has already invited vendors to your past galleries through the “Photographer Invited” link, you can update their user type to Vendor.

1. First, you will need to invite the user to a gallery as a Vendor, either manually or through the Vendor Registration Link. Then, the system will scan your past galleries and see if they are already Photographer Invited users in any other galleries.

2. Then from your Main Dashboard, navigate to Settings.

3. Next, select the Vendor tab to view the Vendor Network. From here, you can view each of the Vendors added, the Vendor Terms, and Past Invited.

4. Select the Past invited tab. This tab displays any existing Vendors previously invited as Photographer Invited users.

If you do not see any Vendors yet, be sure you've already invited them to a gallery as a Vendor. Any Photographer Invited users who haven't been invited to a gallery as Vendors will not appear here.

Please Note: This process to scan for Photographer Invited Vendors may take a few minutes.

5. To begin the registration of these existing users as Vendors, select the three dots and click Assign to Galleries.

5. You’ll then be able to checkmark which galleries you'd like to update their user type for. Click Continue.

6. Then click Assign and Send Email if you want to write an email inviting the Vendors back to the gallery, or click Assign Only if you don't want to notify them.

Please Note: This process only applies to vendors that you’ve invited in the past as “Photographer Invited”. If you wish you apply a Vendor that you’ve already added to your Vendor Network to other galleries, you can do so within the gallery’s Vendors tab.

7. Then you can follow the steps here to update their Vendor terms and photo selection in each gallery if needed.


Review Sharing Details and Invite Vendor

Now you can review the details for each Vendor, including their photo selection and Vendor terms.

Vendor-Specific Media Collection

It’s important to share images that are relevant to each Vendor. You can select images manually or use automatic AI selection, depending on the relationship or importance of the Vendor.

Click on AI selected photos… to see all available selection options.

Here, you will be able to adjust their main Photo Selection as well as Additional Photos.

Manual Selection

Best for preferred or high-value Vendors where curation needs to be precise.

You have two manual options:

  • Manual Selection: Use the Filter & AI Search tools to select photos manually.

  • Use photos metadata (e.g. Lightroom keywords): If you’ve tagged images in Lightroom with our corresponding keywords, Pic-Time can auto-select those images for the Vendor.

Automatic AI Selection

For galleries with many Vendors, AI selection is the fastest and most efficient option.

The AI also sorts the images in order of what’s most relevant to each Vendor.

Use one of the AI selected photos options to quickly provide all your Vendors with the most relevant images without any extra work from you.

You can choose to exclude photos with faces or with kids, if you want to avoid images showing people’s faces or children.

All photos - no curation

If the Vendor doesn’t need a curated selection (such as event planners or producers) you can choose All Photos – No Curation to share the full gallery (excluding any hidden by the Main Client).

Please Note: This and any of the other Vendor selection options will not include photos that the Main Client has hidden. Learn more.

Additional Photos

Optionally, you can include the Highlights scene or the option to view all photos in the gallery. We recommend using these only for important or preferred Vendors.

Once you’ve made your selections, click Apply to save your changes.

Vendor Media Usage Terms

For each Vendor, you can review and apply their Media Usage Terms. Pic-Time’s Default Terms are ready to use, or you can create custom Media Terms.

Once you've finished reviewing the Vendor's details, click Continue.

You’ll then have the option to customize the invite email. When you're ready, click Send Email to invite the Vendor.

The Vendor will receive an email with their image selection and can access their dedicated gallery view.


Update a Vendor’s Media Selection and Usage Terms

To update a Vendor’s media access or Media Usage Terms, go to the Vendors tab in the specific gallery.

Click the Select photos pencil icon to adjust the media shared with the Vendor.

You can also grant access to the Highlights Scene or the full gallery (excluding any photos hidden by the Main Client).

Additionally, you can select to Edit Your Vendor Media Usage Terms.

Any changes made will automatically update the Vendor’s gallery view, and any previously shared links will reflect the new selections.


Copy Credits

When sharing media on social media, it’s a great practice to credit the Vendors featured in the media or event.

To do this, go to the Vendors tab in a Client Gallery and click on Copy Credits.

From the drop-down menu, select the type of post you’re sharing. A list of auto-generated credits will appear, formatted to suit that post type. Click Copy to add the text to your clipboard.

Please Note: The credits text cannot be edited in this box. To update Instagram handles or other details, edit the Vendor’s profile directly.


Lightroom Keywords for corresponding Vendor Filters

To make AI or manual image selection faster, use these keywords when editing your photo in Lightroom or other editing software. They match Pic-Time’s Vendor Type Filters.

When using these keywords, choose the Use Keywords from LR/Metadata photo selection option.

Automatically Mark Photos as “Vendor Only”

Want to share specific images with Vendors only?

In your Settings > Preferences tab, you can configure photos with a certain star rating in their metadata to be Vendor-only.

These images will be hidden from all other users, including the Main Client.

Alternatively, in the Photos & Media tab of a gallery, filter and select specific media, then click on Manage Photos and from the drop-down menu select to make this media Visible to Vendors Only.
