How can I maximize security and privacy for my gallery?

Privacy and security are crucial for you when setting up your galleries. Clients may have specific needs regarding the private nature of their images, especially if the photos include intimate moments, cultural ceremonies, or personal identifiers. Ensuring reliable privacy measures can help build trust and provide assurance that their images will not be displayed on their gallery, or for other gallery visitors. This article will guide you through some ways you and your client can ensure the privacy and security of their galleries.

Enable Private Galleries

In Client Galleries, mark your gallery as Private. We recommend this option for all galleries, unless it is for a large event that you'd like to be open to the public.

When the gallery is marked as private, only those people that you as the photographer invite, or people your Main Client invites will be able to access the gallery, and you can invite people via email or a direct secure link. The direct link can be shared amongst friends and family. When the gallery is private you can also utilize the access code feature if you want a general password for the gallery.

If you display your private gallery on your Portfolio Page, only people who have already been invited (directly or through a link) and have created an account, or who have an access code will be able to view the gallery.

Remove from Portfolio Page

If you do not want the general public to see the gallery cover thumbnail on your Portfolio Page, uncheck the Show on Portfolio option. We highly recommend this for galleries such as Newborn or Boudoir, but recommend displaying your other types of galleries on your Portfolio Page.

Add Gallery Expiration

If you wish to have the gallery expire and go offline after a certain period of time, you can add a gallery expiration. We generally recommend 1-2 years for Wedding galleries, 6 months-1 year for Family galleries, and 1-3 months for sessions such as Newborns and Boudoir, or other portraits and events. Not only will this make the gallery inaccessible, but you can offer a last-minute store discount before the gallery expires through the Gallery Expiration Automation.

Pro Tip: If you run a store sale on an offline/expired gallery, the gallery will come back online for the duration of the sale. Click here to learn more.

Request Email Before Entering the Gallery

Checkmark to request that any gallery visitors leave their name and email address before they can view the gallery. We recommend enabling this option for most occasions.

Do not Allow Sharing (Facebook, Email ...)

Uncheck the Allow sharing option to remove the gallery guest's ability to share a link to facebook or via email. We recommend enabling this option for occasions such as Weddings, Portraits, etc., but leaving it unchecked for private weddings, Boudoir, Newborn, etc.

Sensitive Galleries

Select the Sensitive Security Policy to add an added level of protection to the gallery. We highly recommend this for galleries such as Boudoir, Newborn, or any other galleries where you want extra security and privacy. In general we do not recommend this for occasions such as Weddings.

Please Note: The Sensitive Security Policy is not recommended if you plan to share the gallery with many family and friends. This policy is designed for viewing by only a few individuals and may not be suitable if you intend to share the images widely.

In each gallery’s Gallery Setup tab, click the dropdown under Security Policy.

Sensitive Security automatically enables:

  • Private Gallery

  • Gallery Expiration

Sensitive Security automatically disables:

Sensitive Security also add another level of security on top of this, where:

  • Only invites associated with an email address will be available. You cannot invite people to the gallery with a direct link or gallery access code. Clients can only share the gallery with specific email addresses.

  • Any previous links that were not associated with specific emails will be disabled.

Hide Images

Main Clients and you as the photographer can hide any photo of your choosing in the gallery. The hidden photos are only seen by you and the Main Client. Guests, Client Invited, Vendors, or Photographer Invited users will not see the hidden images. Click here to learn more about Hidden Images.

Hide Scenes from Certain User Types

If you create more than one scene in the gallery, you can hide any specific scene from a certain user type. The visitor accessing the gallery as the specific user type will not be able to see the scene if it is hidden.

You can easily hide scenes or give gallery guests certain scene access through the Photos tab, or through a secure link in the Share tab.


Sharing Galleries

You can invite users through any of the options on the gallery's Share tab.

The secure link contains a cookie that will give the person access to the gallery, and when they create an account, they will be registered as that particular user type for that gallery. For example, if someone with the Photographer Invited link creates an account, their gallery access for that particular gallery will be marked as Photographer Invited. They can be invited to other galleries as other user types.
