Pic-Time gives you the ability to schedule the date and time that emails are sent. You can schedule certain emails to send at a specific date and time, based on your own timezone settings.
Please Note: Emails can only be scheduled from within a specific gallery or Automation. They cannot be scheduled from a Gallery Template or Email Package.
What emails can be scheduled?
Emails that can be scheduled include:
Gallery is Ready email to Main Client
Gallery invite via email to Photographer Invited users
Automation emails
Scheduling the Gallery is Ready Email
1. To schedule the Gallery is Ready email for your Main Client (the email inviting your Main Client to their gallery), first go to the specific gallery and make sure:
The gallery does not have any unwanted Automations assigned in the Shop tab.
When setting the gallery Online, some Automations will automatically begin and send its email to the client, so double-check your Automation's settings first and Edit the Automation Start if needed, or Unassign from gallery.
The gallery is set to be Online.
When scheduling the Main Client invite email, the email will only send at the scheduled time if the gallery is already Online. The email will not send at the scheduled time if the gallery is Offline, so you will need to manually turn the gallery Online. It is not possible to schedule the gallery to go Online, but the client will not be able to access the gallery until they have the link.
2. Then go to the gallery’s Share tab, and enter your Main Client’s name and email address. Click Send to Client.
3. Edit the email Message, and click Schedule Email. Learn more about Email Packages here.
4. Choose from the suggested times or choose your own date and time.
5. Then click Schedule Email to save the changes and schedule the email. Your email will be sent at the scheduled time.
Can I edit scheduled emails?
A scheduled email cannot be edited. Instead, it will need to be canceled and rescheduled.
How do I cancel or view scheduled emails?
Click here to go to your Client Galleries > User Activity and locate the specific gallery. In the All Users section, locate the scheduled email in the Activity Type column.
In the rightmost column, click View Email to view the email, or Cancel Email to cancel the scheduled send.
Sales Automation Emails
The above email scheduling feature refers to standard system emails. If you have created a Sales Automation, emails can also be sent through the Automation. There are two factors to determine the email send time in an Automation, which we will go over below. For more information about setting up emails in specific Automations, search the Sales Automation Section of our Help Center for the specific one.
Automation Email Send Time
Within most Automations, you can schedule the email send time, either at an Optimized Schedule, or at the Earliest possible time. If you select the Earliest possible time, the email schedule is based on the Automation Assignment Setup (see below).
Automation Assignment Start
When you assign an Automation to a gallery, you may have the option to schedule when the Automation begins. Depending on the Automation, this will also be the time emails are sent out. You can set the exact date and time for the Automation to begin.
For example, if you are using the General Coupon Automation and have emails set to send at the Earliest possible time, then the emails will send according to your Automation Start.
However, for Automations like the Abandoned Cart Automation, emails will be sent according to when the customer left the items in their shopping cart.
