The Pre-Registration/Request Access feature allows gallery visitors to register in advance or request access to view the gallery.
Once you have enabled this feature, you can choose to:
Approve or reject requests manually (yourself and/or allow the Main Client to)
Approve them automatically (if using the Pre-Registration option)
The emails can be approved or rejected by you and/or the Main Client (this is defined by you), or approved automatically if using the Pre-Registration feature.
Please Note: This is not available for galleries that have Sensitive Security Policy enabled.
Enable Pre-Registration / Request Access
Go to the Client Gallery’s Share tab, and under Access Request, checkmark to Allow users to Pre-Register / Request Access to the gallery. Then from the dropdown, select how you want the requests to be approved:
Requests will be approved by Photographer
Requests will be approved by Main Client OR Photographer
Requests will be approved automatically when published
If you want guests to pre-register to an offline gallery, click here.
If you want guests to request access to an online gallery, click here.
Pre-Registration Link to Register
When the gallery is set to Offline, the Pre-Registration Link will allow users to register to the gallery. This is useful at large events when a gallery is created prior to the event. The pre-registration link can be shared with future gallery guests.
Once access is approved and/or the gallery is set to Online, approved guests will receive an email invitation. If they create an account, they’ll be granted Client-Invited user privileges.

Pre-Registration Link to Request Access
When the gallery is Online and Private, the Pre-Registration Link will allow guests to request access using their email address. Access can be approved manually (by you or the Main Client) or automatically, depending on your settings.
After guests are approved, they will receive an email notification. If they create an account, they’ll be granted Client-Invited user privileges.

Get Pre-Registration Link or QR Code
Please Note: If you're using the Gallery Visitor Boost Automation for your gallery guests, you will want to assign the Automation to the gallery before giving guests the link/QR Code.
After following the steps to enable Pre-Registration / Request Access you can either Copy the link or click to Download QR Code.
Get Pre-Registration Link or QR Code via the Mobile App
You can also easily access the QR Code from the Mobile App!
1. Tap the share icon in the gallery.
2. Select Guests Pre-Registration.
3. Tap to Share link.
4. Then, select the QR code so guests can scan it to join the gallery. Alternatively, you can copy and send them the link.
What visitors see when the gallery is Offline
Visitors who access the gallery via the Pre-Registration Link when the gallery is Offline will see an option to Pre-Register to this Gallery. They will be prompted to enter their Name and Email and click Send Request.
After submitting the request, they’ll see a confirmation page with your social media links.
Pre-Registration Loop
For events where guests are registering continuously (e.g. in person), you can use the Pre-Registration Loop, which refreshes the registration page 10 seconds after each submission if the guest does not click OK, Got it.
To add the Pre-Registration Loop, type ‘loop’ to the end of your URL. For example:

What visitors see when the gallery is Online
Visitors who access the gallery via the Pre-Registration Link when the gallery is Online and Private will see an option to Request to view this gallery. They can input their Name and Email, then Send Request for access.
After submitting the request, they’ll see a confirmation page with your social media links.
Requests can be approved by you, the Main Client, or automatically (depending on your settings).
Approving Guests - Photographer
To manage user Pre-Registration / Request Access gallery access requests:
1. Go to the Share tab. Click to Approve All or click the checkmark icon next to each email address to approve a specific visitor only. You can also reject any visitor by clicking the x icon next to each email address. They will not be notified if you deny their request.
Approving Guests on Mobile
Once the gallery Guests have pre-registered, you can also approve their requests in the Mobile App.
To approve Guest access in the app:
1. Tap the Share icon in a gallery.
2. Select Guests Pre-Registration from the menu.
3. Tap Access Requests to view new requests.
4. You’ll see each Guest’s name and email. Tap checkmark or x icons to approve or reject each Guest’s request, or select to Approve All requests at once.

This article belongs to our Client Help Center, built specifically to assist your clients using the gallery. The Client Help Center is white-labeled, meaning we don’t mention Pic-Time or other photographers, so you can share it as part of your own brand.
Invite Email
Once a user is approved (by you or the Main Client), they’ll receive a confirmation email titled Project access granted.
To customize this email:
1. Go to Settings > Email Packages.
2. Select the relevant email package or create a new custom email package if needed, then hover over the template and click the pencil icon to edit.
