How do I select photos for vendors?

In this article, we will go over the photo selection options for vendor galleries. Learn more about adding Vendors to your galleries here!

1. From the Vendors tab in the gallery, click Share photos with vendors.

2. It’s important for your Vendor to see photos that are relevant and specific to them, so you can either have the images selected manually or automatically with AI, depending on your relationship to the Vendor. Click on AI selected and sorted photos to see all of the selection options.

3. Here, you will be able to adjust their main Photo Selection as well as Additional Photos.

Manual Selection

For manual selection in Pic-Time, we recommend starting with the default AI-selection and clicking Select photos to curate and edit this selection.

You can also avoid the AI-selection completely and curate the entire vendor gallery by yourself. Click Manual in the Photo Selection menu - it will present you with all the photos in the event gallery to choose from. You can use the Filter & AI Search to quickly select the photos based on other metadata or information from the gallery, including your own keywords.

Manual Selection in Lightroom

You can also manually curate vendor galleries in Lightroom or any other editing software and export your selection to Pic-TIme. In Lightroom, add the relevant keywords such as “florist” or “venue” to each vendor-related image. You’ll find a list of the keywords you can use below.

After exporting the gallery to Pic-Time, select Use Keywords from LR/Metadata to automatically create a vendor gallery with all the relevant photos according to the keywords you assigned.

Automated AI Selection

For most of your galleries where you have 10 or more vendors, the AI selection is perfect as it saves you time while still providing them with only the images they care about. The AI also sorts the images in order of what’s most relevant to each vendor.

Automated AI selection is the default option in Vendor Network. Once you choose the vendors you’d like to share with in the Vendors tab, the AI will automatically create the selection for each vendor.

To change the default photo selection method, go to Settings > Vendors > Vendor Terms, then edit the default vendor terms or open new terms. You’ll find all the default photo selection options under Photo Selection.

Keep photos in gallery order

If you’d like to maintain your original order of photos in vendor photo selections, you can still use the AI option. In the Photo Selection menu choose AI selected photos, keep gallery order - our AI will select the photos based on each vendor’s type and arrange them according to your gallery order.

Exclude photos with faces

You can adjust the AI photo selection to exclude photos with people’s faces. This will help you prevent photos of wedding guests accidentally being shared on your vendor’s social media. Go to the Photo Selection menu and choose AI selected, exclude photos with faces.

Sharing All Photos

When you have a Vendor who doesn’t need a specific theme of images, such as the planner or producer of the event, select All photos - no curation to share the entire gallery of images with them.

Providing Access to Additional Content

4. After curating the photo selection, you can select additional photos you’d like to show the vendor, either the Highlights scene of images, or the option to view all photos in the gallery. Click Apply when you’re ready to save your changes.

Tagging Vendor Only Photos

In addition to easily curating Vendor galleries, you can also tag images as Vendor Only so they will be hidden from other visitors, for example, a portrait of the Vendor on the job.

In your Settings, go to the Preferences tab and open the Automatically 'Only Vendor' Photos menu. You can set the system to automatically assign the "Only Vendor" tag to an image based on its star rating in Lightroom rating or based on its assigned keyword. Images marked as "Only Vendor" will not be visible to any other users, including the Main Clients.

Alternatively in the Photos tab of the gallery, you can select images manually or using the Filter & AI Search, and click on the Manage Photos option to mark these photos as visible to the Vendors only.

For your preferred Vendors, while editing images in Lightroom or other editing software, you can use the following keywords to correspond with Pic-Time’s Vendor Type Filter. When using these keywords, choose the Use Keywords from LR/Metadata photo selection option.
