Your Vendors want to see photos that are relevant to them. You can either select photos manually or automatically using AI, depending on your relationship with the Vendor. We cover each option in this article.

Please Note: Hidden media from the Main Client will never be included in Vendor selections.
Share Media With Vendors
1. From the Vendors tab in the gallery, click Share photos with vendors.
2. The AI selection is set by default. Click AI selected and sorted photos to view all selection options.
3. Here, you can select your preferred method for the Vendor’s main Photo Selection from the dropdown menu, including options for:
4. After curating the photo selection, choose if you wish the Vendor to see just the selected photos or also receive access to the Highlights scene, or the full gallery. Click Apply to save your changes.
Manual Selection in Pic-Time
Edit AI-selection
For manual selection in Pic-Time, we recommend starting with the default AI-selection and clicking Select photos to curate and edit this selection.
Curate the Gallery Yourself
Select the Manual Photo Selection option and click Apply. You will be presented with all the photos in the event gallery to choose from.
You can use the Filter & AI Search to quickly select the photos based on other metadata or information from the gallery, including your own keywords.
Checkmark the images you want to choose and click Apply to save your selection.
Select in Lightroom or Other Editing Software
You can also manually curate vendor galleries in Lightroom or any other editing software and export your selection to Pic-TIme. In Lightroom, add the relevant keywords such as “florist” or “venue” to each vendor-related image. You’ll find a list of the keywords you can use below.
After exporting the gallery to Pic-Time, select Use Keywords from LR/Metadata to automatically create a vendor gallery with all the relevant photos according to the keywords you assigned.
Automated AI Selection
AI selection is the default in Vendor Network. After you choose vendors in the Vendors tab, AI automatically creates a tailored selection for each one.
For galleries with 10 or more vendors, AI selection is ideal—it saves you time while showing each vendor only the media most relevant to them, sorted by relevance.
To change the default photo selection method, go to Settings > Vendors > Vendor Terms, click the three dots icon to edit the Default or any of your custom Vendor Terms.
You’ll find all the default photo selection options under Photo Selection.
Keep photos in gallery order
To keep your original gallery order, choose AI selected media, keep gallery order in the Media Selection menu. AI will still tailor media to each vendor, but arrange it according to your gallery order.
Exclude photos with faces or kids
You can adjust the AI photo selection to exclude photos with people’s faces or children. This will help you prevent photos of wedding guests from accidentally being shared on your Vendor’s social media.
In the Photo Selection menu and choose AI selected, exclude photos with faces, or AI selected, exclude photos with kids.
Sharing All Photos
If a vendor doesn’t need a specific selection (e.g., the planner or producer), choose All photos to share the full gallery.

Tagging Vendor Only Photos
In addition to easily curating Vendor galleries, you can also tag images as Vendor Only so they will be hidden from other visitors, for example, a portrait of the Vendor on the job.
In your Settings, go to the Preferences tab. Under Automatically 'Only Vendor' Photos you can set the system to assign this tag based on a Lightroom star rating or keyword.
Images tagged as Vendor Only will not be visible to any other users, including Main Clients.
Alternatively, in the Photos & Media tab of the gallery, select media manually or via Filter & AI Search, then click Manage Media > Set to Vendors Only.
Lightroom Keywords for corresponding Vendor Filters
While editing media in Lightroom or other software, use these keywords to match Pic-Time’s Vendor Type Filter. Then choose the Use Keywords from LR/Metadata photo selection option to automatically select images for your Vendors.
