How do I soft proof and offer additional downloads through the Simple Sales System?

With the Simple Sales System, you can easily automate the experience of in-person sales by offering your clients digital + store credit collections to purchase.

If you are a photographer who also offers soft proofing and sells additional digital downloads, this article will guide you through the custom setup options to implement this workflow with the Simple Sales System in Pic-Time.

Simple Sales System App Settings

1. For all Collections, to prevent users downloading unedited images you will disable the downloads in the Number of Digital Files Included sections. Later on you will manually update the gallery download settings. Remember to update this for Collection 1, 2, and 3.

2. For all Collections, you will update the Selection workflow. The amount you enter will be the number of images the client can select when they purchase this collection for additional editing.

3. When the client purchases their Collection, this Selection Request will open, prompting them to choose their included proofs. Name your Selection Workflow and add the Amount of photos to select. Remember to update this for Collection 1, 2, and 3.

4. For all Collections, you will need to update the welcome email to include Selection instructions, and to direct the client to your download product in the shop if they would like to purchase additional downloads. Let the client know that you’ll edit these alongside their included photos and they will be in the gallery as well. Remember to update this for Collection 1, 2, and 3.

Setting Up a Product for Additional Proofs and Retouching

You will need to set up a Custom Product in the Store Pricing if you want to allow clients to purchase additional images after the initial Selection Request. Click here to learn more about creating Custom Products.

5. In the settings of your digital download Custom Product, checkmark that the product is delivered digitally. Then checkmark Enable photo selection for this product and set Any Amount from the dropdown. Later on, you’ll add any of these additional purchased files to a downloadable scene in the gallery instead.

Setting a Price for Additional Retouching

6. You can include the retouching price in the price of the download. Or you can add further retouching, such as skin retouching, as an additional option.

When editing the price of the product, add an additional item for Extra Retouching, or whatever else you like. You can even offer a discount for the first or additional downloads, built right into the pricing.

In the Store Pricing of the Custom Product, the first Price line is the base price for the product without any photos selected. (For example, photographers can use this first line to indicate the initial cost of an album, photo box, etc.) The second Price line for Each photo is the price for each image selected within the product.

In the screenshot below, the base cost for this digital product is $0, and each proof/download selected would cost either $15 per photo, or $25 per photo with retouching.

When the client is in the product editor, they will see any extra retouching options you’ve added.

After the Client has Selected and Ordered

7. Once your client selects their included photos, you will see them in the Workflow tab of the gallery.

8. You can download these, or sync them with your Lightroom Plug-in. Click here to learn more about syncing.

9. If your client orders any extra digitals, you will see these under Sales & Automation > Orders. After clicking on the individual order, you can select the product photos button to see all the images the client purchased.

You can also see any extra ordered digitals from the gallery’s Photos tab, by clicking the AI Filter & Search.

After You’ve Edited the Images

10. When you’re done editing the images your client selected as their final photos, first Hide the proofing scene. Click here to learn more about hiding scenes.

Pro Tip: If you do not Hide the proofing scene, please keep in mind clients will be able to purchase these photos on any other products in your shop. If you choose to keep the proofing scene visible, we recommend putting a Hold on the orders so you can edit them before they are sent to the lab. 11. Then create a new scene, drag the scene to the top of the gallery, and upload the final edited images to that scene, including any extra purchases that were made by the client.

12. In the Gallery Setup tab, click the download Settings.

13. You can either enable downloads for the full gallery (excluding any Hidden scenes), or specific scenes.

14. Then in the Share tab, we suggest sending the client an email letting them know their downloads are available, and after logging into their account, they can click on the download icon on each image or at the top of the page to download the photos.

And that's it! Now your clients will be notified that their downloads are available in the gallery.

Quick Checklist

  1. Update App Settings

    1. Digital files set to 0 for all Collections.

    2. Selections updated for all Collections.

    3. Email Communication updated to include Selection instructions.

  2. Create Custom Product

    1. Create an additional downloads product

    2. Checkmark that product is delivered digitally, and requires any amount of photo selection.

    3. Add pricing, then add on optional additional retouching.

  3. After the client has selected and ordered

    1. Download/sync Selections and ordered files

    2. Edit files

  4. After editing the files

    1. Hide the Proofing scene

    2. Upload the final images

    3. Update download settings to include free download of these images

    4. Share the Gallery again with the client, letting them know that their files are ready to be downloaded.
