How do I Create and Use the Early Bird App?

This campaign is designed to generate excitement by offering an introductory discount when users first access a gallery.

When a new visitor enters the gallery this campaign automatically sends them a short-term discount designed to inspire early sales. Promotional email reminders also help convert more sales and boost gallery views.

Add Early Bird App

1. To begin, click on Sales & Automations from the Main Dashboard.

2. Under the Automations tab, click + More automations and select the Early Bird App from the list of available apps.

3. Click to Install the app.

4. Name your app and click Add Automation App.

Campaign Language

5. The Early Bird app is available in 11 different languages! Including English, Deutsch, Dansk, Español, Français, Italiano, Nederlands, Norsk, Polski, Português, or Svenska.

Please Note: You will need to manually change the discount code and discount description in your preferred language.

Changing the language will update your emails and banners, so you'll want to do this step first.

Cutoff Period

6. Then adjust the Cutoff Period.

The Cutoff Period refers to the period of time between assigning the app and when the promotion remains available for clients and guests.

When each new visitor views the gallery for the first time, this will trigger the Campaign Duration and allow that visitor to use the discount for the duration. However, any visitors who view the gallery for the first time after the Cutoff Period will not receive the campaign/discount.

For example, if the Cutoff Period is 14 days, and the client visits the gallery for the first time on day 13 they will receive the promotion for the full duration. If they delay their first visit and do not view the gallery until day 15, they will not receive the promotion.

Offer Duration

7. Then adjust the Offer Duration. This will be the duration which the coupon can be used by your client. We recommend adjusting the sale to end at 11:59pm for simplicity for your gallery visitors.

Please Note: The start time of the Early Bird promotion, and therefore the end time, will vary depending on the user type and their behavior in the gallery:

  • For all users that have previously visited the gallery, the promotion will begin when the app is assigned to the gallery.

  • For galleries where Pic-Time cannot identify who the user is (guests entering via the guest link AND the gallery does not request name & email when entering), the promotion will begin when the app is assigned to the gallery.

  • For Main Clients or identifiable gallery guests that have not yet visited the gallery, the promotion will begin when they first visit the gallery.

Please Note: If you Extend the Early Bird app after assigning it to a gallery, it will only extend the timeline if it's still active. If the duration has already passed, it cannot be extended again.

Early Bird Discount

8. Next, modify the Early Bird Discount.

9. Here you can modify the discount, description, code, whether you want to apply free shipping, whether you want to have a minimum order amount for this coupon, if you want to allow discount stacking or if you want to limit the coupon to specific products. For more information on what discounts you can offer, click here. Click Apply when you are ready to save your changes.

Please Note: Do NOT change the language of the dynamic text token. This will autofill with the appropriate information) and change the Coupon code.

Banners

10. We can now begin customizing your gallery and shop banners. There are 5 types of banners: text banner, large banner, photo banner, product row, and store rotator. Each banner has various editable parameters. Click on the pencil icon to edit each banner, or click on the trashcan icon if you don’t want to display that banner. Emails

11. Editing emails is easy. Your announcement email will go out at the start of the campaign when you assign the app to the gallery for existing users. For new users, the announcement email will be sent to them after they first enter the gallery. You can also add email reminders before the end of the campaign when the coupon will expire. First, select your email send time.

12. The Email send time is when the emails themselves are sent telling the client of the discount. They can be sent either at the Earliest possible time (depending on when the visitor views the gallery), or at an Optimized schedule.

13. Then click the pencil icon to edit the emails. Learn more about customizing and designing emails here.

14. Click the trashcan icon to remove any emails you don’t want to send.

Limit Campaign Users

15. Finally, you can limit the user types that this campaign will be active for.

16. Select which user types you want to receive the campaign, and click Apply.

17. After you have modified your app, you can leave an internal note to yourself and click Save to save the app.
