How do I set up the Valentine's Day Automation?

The Valentine’s Day Automation offers a storewide discount to your clients, so they can celebrate with printed goods for themselves or their loved ones. The automation is a ready-to-go campaign, with a discount, email templates, and gallery banners, which you can customize to fit your preferences. All you need to do is set up the automation once and assign it to your galleries with just a click.

We suggest starting the campaign no later than January 26, so your clients can receive their order in time for Valentine’s Day.

In this tutorial, we will guide you through setting up your automation.


Before You Add the Automation

1. Make sure your timezone is correct in your profile so that emails and discounts go out at the right time.

2. Review your Shop pricing to confirm your prices will still be profitable once the discount is applied.

Add Valentine’s Day Automation

1. To get started, click Sales & Automation from the Main Dashboard.

2. Under the Campaigns tab, select + More campaigns.

3. Under Special Occasions, select to add the Valentine’s Day Sale 2026 Automation.

4. Click to Set Up Automation.

5. Name your Automation, and click Add Automation.

Quick Setup

Because the Automation is completely designed for you already, you can easily set up and assign it to your galleries right away! If you want to see the full customization instructions, click here!

After adding the Automation:

1. Check the Discount

First, check the Discount settings. Then, when you are ready, click to Save the Automation.

2. Assign to Galleries

Next, hover over the Automation and click to Assign to Galleries to select which galleries you want to include in the campaign.

Select your preferred Projects (Client Galleries), Recipients, and the Start for this campaign. We suggest starting it no later than January 26. Click Apply to activate the Automation for the selected galleries.

Please Note: While you’re free to adjust the campaign dates, the default schedule is designed to allow clients enough time to place their orders and for labs to process and deliver them on time.

And that's it! Now your clients will receive the emails on the start date and use their discount in the Shop.


Fully Customize your Automation

Although the Automation is pre-made and ready to go, you can still fully customize the Automation.

Design Template

1. Begin by selecting a pre-made Design Template.

2. Applying the Design Template will update the colors in your emails and banners, as well as reset any text edits, so be sure to choose the design before you begin customizing them.

When you’re done selecting your template, click Apply.

Discount

3. Click the pencil icon to adjust the Discount. The default discount is set for 30% off, but you can change it to fit your preferences.

4. In the pop-up window, you can modify the discount, description, and code. You can also enable free shipping, set a minimum order amount, and allow discount stacking.

By default, the discount applies only to Pic-Time's built-in physical products. To include Custom Products, Product Packages, downloads, or products from other Automations such as the Digital Gift Cards, uncheck the Limit to specific products option.

Click Apply when you are ready to save your changes.

Campaign Duration

5. Then set your Campaign Duration. This will define how long the discount, emails, and banners will be active. We suggest leaving it at 7 days.

Emails

6. If you would like to delay the announcement email and/or reminder emails, you can adjust the email send time to an optimized time instead of the Earliest possible. This will not delay the start of your campaign, only the email send time.

7. Click on the pencil icon to start editing the email. Or click the trashcan icon to remove the email.

8. Your announcement email will go out at the start of the campaign. You can also add email reminders before the expiration of the campaign. To start editing the email, begin by selecting the Design Layout. With the design layouts you can showcase client images and products directly in the email. We suggest leaving the email as is, for maximum impact. Click Apply to save any changes.

Banners

9. We can now begin editing your banners for the Valentine’s Day campaign. We suggest leaving the banners as is, but you are welcome to customize them. There are 5 types of banners: text banner, large banner, photo banner, product row, and store rotator. Click the pencil icon to begin editing a banner.

Text Banner

The text banner is located at the top of the gallery, underneath the navigation bar of the gallery. The banner is pinned to the top of the gallery while scrolling. You can edit the text, text color, and background color.

Large Banner

Large banners are shown in the gallery stream between scenes and have a larger number of customizable fields. You can edit the image or video, content, and style of these banners.

Photo Banner

The photo banner is displayed in the gallery stream, in the midst of the photos. It shows a countdown clock for the duration of the campaign. Similarly to the large banner, you can edit the image or video, content, and style of this banner.

Store Rotator

The store rotator banner is located in the gallery store, above the products. You can modify the content, image or video, and style of this banner.

Product Row

The product row allows you to pick 3 products that are displayed at the bottom of the gallery stream, although we do not suggest using this banner with this campaign. You can modify the title and subtitle of the product row and choose 3 products. Note, if you choose a specific size or type of product, it will still display the general name of the product (i.e. if you choose a 10x10 lay flat album, it will display lay flat albums as the product) but if the client clicks on the product, they will start with the specific size/type you selected.

10. After you have modified your Automation, you can leave an internal note to yourself and click Save to save the Automation.

Assigning the Automation to Galleries

11. After you have created your Automation, you can assign it to your galleries and begin the Valentine’s Day campaign! We suggest setting your Automation to start no later than January 26. Learn how to assign the Automation to your galleries here.
