What is Zapier?

We’re thrilled to announce our integration with Zapier, a tool that connects the platforms you use to run your business, making workflows seamless and saving you time. With Zapier, you can now sync your Pic-Time workflows with thousands of other apps and services. Set up triggers in one app to automatically perform actions in Pic-Time, or vice versa. Ready-to-use Templates

Zapier offers a variety of pre-built templates to seamlessly integrate your favorite apps with Pic-Time. Whether it's CRM integrations, email subscriptions, or invoicing, select one of these templates for the easiest way to get started and quickly automate your workflow.

Zaps: Supported Triggers and Actions

Zaps are automated workflows that link Pic-Time with your favorite apps, streamlining repetitive tasks. Each Zap begins with a trigger—an event like a new order in Pic-Time—and completes with an action, such as adding the order details to a spreadsheet or sending a notification.

The Zapier integration with Pic-Time provides the following automation options:

Available Triggers

  1. New Gallery Visitor: Initiates a workflow when a new visitor enters your Pic-Time galleries.

  2. New Order Placed: Initiates a workflow when a new order is placed in your Pic-Time account.

  3. Main Client Gallery Invite Sent: Initiates a workflow when the Main Client gallery invitation email is sent.

Each of these triggers starts a Zap instantly.

Available Actions

  1. Create Gallery: Automates the creation of a new gallery or updating existing gallery information in Pic-Time.

How do I create my own Zapier automations?

To create your own Zapier automations, simply sign up for a Zapier account and follow their easy-to-use instructions to set up custom workflows between your favorite apps. You can find a quick guide on how to get started on Zapier’s website.

Why Some Zapier Templates Aren’t Available

While Zapier offers great flexibility, there are a couple of common templates we haven’t set up due to their limitations. Here’s why:

Xero Integration

  • Workflow: Automatically add order payments/costs to Xero when an order is placed in Pic-Time.

  • Limitation: Xero’s integration doesn’t add an amount to the bank transaction, which makes the workflow ineffective.

WhatsApp Integration

  • Workflow: Send a WhatsApp message to the client when a gallery invite email is sent.

  • Limitation: The WhatsApp integration only sends a generic message and gallery link, not a custom message with gallery details.

We’re focused on providing useful and functional automations for a smooth experience. If these limitations improve in the future, we’ll be happy to add these templates.
